Data Protection & Security

Encryption

Uploads and downloads travel over HTTPS using industry-standard TLS. Files are stored in access-restricted server-side job directories during the short retention window described below.

Access Controls

The normal conversion is automated and does not require manual review of your conversation. Limited operational access may still be required to investigate a support or reliability issue; do not upload material your policy forbids a cloud service from processing.

Infrastructure Security

ChatToPDF runs on server infrastructure reached over HTTPS. We do not currently claim an independent application security audit or certification that has not been completed and published.

Data Retention & Deletion

Seven-day automatic file deletion

Source exports, extracted media and generated downloads are automatically deleted no later than seven days after the job is created. The same rule applies to paid, unpaid and abandoned jobs. A job already processing at the deletion boundary receives a maximum 24-hour grace period so its source is not deleted mid-conversion.

Retention Periods

• Uploaded source files and extracted media: Deleted within 7 days
• Generated PDF, CSV, XLSX and bundle files: Deleted within 7 days
• Order Information: Retained for 7 years for tax/legal purposes
• Usage Logs: Retained for 90 days for security and debugging

Data Deletion Requests

You can request immediate deletion of your data by contacting us. We will permanently delete your information within 30 days, except where retention is required by law.

Third-Party Services

• Dodo Payments, Polar and PayPal: Payment processing, depending on the checkout method shown
• Resend: Email delivery service for sending completed PDFs
• Deepgram: Voice-note audio transcription only when you select a voice tier
• Google Analytics: Consent-based aggregate product and traffic measurement

We do not sell, rent, or share your personal information with third parties for marketing purposes. We only share data with service providers necessary to deliver our service.
